How will I communicate with my provider?

Patient Portal is one option. Advanced MD allows clients to message their providers without the long hold times over the phone. Additionally, the practice owner can be reached by email at renee@koholacare.com

Can I count an email or phone call as my follow-up appointment?

This is an excellent question! Unfortunately, only two appointment methods are recognized as sufficient for a clinician to assess clients during their sessions. Appointments can be in-person or telehealth - with audio and video. Emails and phone calls cannot replace a follow-up appointment, but they are a wonderful way to ask questions or to give updates.

Who do I contact about a scheduling or billing question?

If you need support with scheduling, paying a bill, records requests, etc., you can give mindful therapy group a call or manage your appointments and bills through the Patient Portal.

What do I need to know about Telehealth appointments?

Virtual visits are provided though the Advanced MD patient portal, the link to your Telehealth appointment can be found there. Virtual visits use the Zoom app and must include video and audio output. If you have trouble finding the link to join, reach out to MTG at 425-477-4215 or your provider, Renee at 503-683-2085 and they can send another invite.

Clients must physically be located in a state that the provider is licensed to practice in (Oregon) at the time of the video visit, and clients must be able to provide attention to the visit. In the event that the client is driving a vehicle or operating heavy machinery, the clinician will not engage in the visit and the client will need to reschedule at a safer time.

Does Kohola Care Psychiatry use AI tools?

AI tools are available for use, but are not required for care.

The AI tools are only used when the client explicitly consents to their use. Clients may decline the use of AI medical scribe tools altogether, and at any point during their recurring sessions.

Kohola Care Psychiatry has access to Freed services for AI medical transcription to assist with note documentation. Client information is protected by law under HIPAA and secured using encryption technology. Audio recordings are temporarily saved in a secure manner until note summaries and quality checks are complete, and then they are automatically deleted. The clinician is responsible to review the content for accuracy prior to signing notes.

If clients are uncomfortable with the use of AI tools, the clinician will manually take notes throughout sessions for which there will be no recordings or transcriptions. This will not negatively impact care provided.

What is the process for refilling my prescriptions?

Providers will refill medications during visits, however, if you find that you need a refill in between visits, please email your provider with at least 7 business days notice before running out of your medication. Certain medications cannot be filled unless specific conditions are met, including routine labs and follow-up visits.

What do I do if I need urgent or immediate support?

If you are in a mental health crisis, please call the National Crisis Line at 988 or text ‘HOME’ to 741-741. These are free and confidential crisis support resources that are available 24/7.

Another option is to call 911 or go to the nearest Emergency Room.

What if I can’t make my scheduled appointment?

Please provide our front office with a minimum of 24 hours’ notice if you are unable to make it to your appointment. Call our front office staff for all scheduling needs at 425.477.4215 to ensure prompt attention.

In the event that you are unable to provide 24 hours’ notice prior to cancellation of appointments, you will incur a missed appointment/late cancellation fee.

Due to the extent of unmet mental health needs in the state of Oregon, a pattern of this behavior will lead to a termination of the provider-patient relationship. This respects the value of provider’s time and services and recognizes the providers limitations in meeting the client’s needs at this time.

Kohola Care Psychiatry and Mindful Therapy Group (MTG) take your privacy seriously and are committed to keeping your Protected Health Information (PHI) safe, in accordance with the Health Insurance Portability and Accountability Act (HIPAA).

I don’t have insurance. What are the self-pay rates?

Private Pay (Self-Pay) Fees:

  • $300 for initial intake appointment

  • $150 for a 30-minute appointment

  • $250 for a 60-minute appointment

Late/Cancellation (< 24 hours) Fees

  • $150 for missing a 30-minute appointment

  • $250 for missing a 60-minute appointment
